The document management system allows you to create different storage repositories with individual access rights. All data is stored securely and encrypted in the cloud so that users can access it from anywhere at any time thanks to its high availability.
Within an existing GroupAlarm account, any number of document storage locations can be booked, each with up to 10 gigabytes of space. This allows, for example, property plans, telephone lists, forms, evacuation plans, hydrant plans and rescue maps to be stored centrally and easily retrieved when required.

In addition to the usual options such as search functions and folder structures, the various documents can be assigned specific document keys. In the event of an alarm, these document keys link the alarm to the documents stored for it. For example, if a detector in a property’s fire alarm system is triggered, the detector location, hazard information or location maps can be linked to the alarm. Thanks to freely definable document keys, existing designations such as system numbers, machine abbreviations or customised identifiers can be used in GroupAlarm. This means that all content is automatically and clearly displayed in the web interface and in the apps (iOS and Android) in the event of an alarm. The document keys are available via the alarm trigger on the web, the alarm templates, in the flow and via the API.
Like all customer information in GroupAlarm, all files stored within the document manager are also managed securely and encrypted in the cloud. This high level of security is confirmed by the implementation of a robust information management system in accordance with ISO 27001 and proven compliance with BSI-C5 / SOC-2 criteria, which ensures that all sensitive data is protected against unauthorised access. Technically, special encryption technology ensures that data is secured both in transit and at rest, minimising the risk of data leaks or unauthorised access. In addition, users can set up different storage locations and assign individual access authorisations within the organisation. This ensures that certain documents can only be viewed or edited by authorised persons, which further strengthens control over the data. To be able to use the document storage, you must first book a storage via CREATE DOCUMENT STORAGE (owner of the organisation or authorised participants). Here you can choose between three packages:
